ZEP Agency (“ZEP”, “we”, “us”) is a research and writing agency. This policy explains what information we handle when you contact us, request a service, or use our client portal, and how we protect it.

- Contact details you submit through our forms: name, email, company, and message content.
- Project material you share with us: briefs, drafts, references, attachments, and any personal data contained in them.
- Account data if you sign into the client portal: email address and authentication metadata.
- Basic technical data such as log timestamps, needed to keep the site running and secure.
3. How we use your information
We use your information only to respond to your enquiry, deliver the services you have requested, communicate about the project, maintain your account, and meet our legal or accounting obligations. We do not sell your data and we do not use your project material to train third-party AI models.
4. Who manages your data
Your information is handled by ZEP Agency’s core team on a need-to-know basis. Where a specific project requires it, a vetted collaborator may work on your material under the same confidentiality terms that bind our own team. We will tell you if a project needs to be handled that way.
5. Service providers we rely on
We use a small number of trusted providers to run the business. They only process data on our instructions and under their own security and privacy commitments:
- Cloud hosting and database for this website and portal.
- Email for correspondence and notifications.
- Payment processors for invoicing (only when you pay us).
6. How we protect your information
Data is transmitted over encrypted connections (HTTPS) and stored in access-controlled systems. Portal accounts are protected by authentication and row-level security so that clients only see their own records. Access inside ZEP is limited to the people who need it to deliver your project.
7. How long we keep it
We keep project files for as long as the engagement is active and for a reasonable period after, so we can support revisions, references, and record-keeping. You can ask us to delete your files earlier — see Section 9.
8. Confidentiality
Everything you share with us is treated as confidential. We do not disclose that you are a client, or the content of your work, to third parties, and we do not publish your material without your written permission.
9. Your choices and rights
You can ask us to access, correct, export, or delete your personal data, or to stop contacting you. Send requests to the email in Section 11 and we will respond within a reasonable time.
10. Cookies
We use only the cookies and local storage needed to keep you signed in and to remember your theme preference. We do not run third-party advertising trackers on this site.
